Creating an Order
Four ways to build a supplier order — from scratch, from a guide, from a forecast, or from par levels.
Optimum Control can build your supplier orders for you — from scratch, from an order guide, from a sales forecast, or automatically from items that have dropped below par. Tip: print an order guide or inventory order form first — walking the shelves with a printed guide before you sit down at the screen makes this far quicker.
🛒  Creating a new order

Click Orders on the main toolbar.

Click New. You'll be asked what kind of order sheet you want.

Choose your worksheet type (below).

Pick your supplier — or all suppliers to build several orders at once.

Set the Delivery Date.

Add your items and quantities.

Click Save to create the order(s).
📋  The four worksheet types
New Worksheet
Everything, all suppliers. Build the order as you go and Optimum Control splits it into separate orders per supplier automatically.
Order Guide
Start from a guide you've already built. Fastest option for a regular order.
Forecast
Order based on expected revenue or a number of days. The system works out quantities from your sales history.
Include Items Below Par Levels
Automatically pulls in anything that's dropped below its par level. Only useful if par levels are set up.
Setting the delivery date
Set the date you expect delivery. You can't select today's date if you're exporting the order to a supplier — most supplier websites won't accept a same-day delivery date.
🔍  Finding items
Use Items By to control how the pick list is organized:
  • Location — by primary storage location (Storage, Cooler, and so on).
  • Group — by group (Bread, Produce, and so on).
Collapse All and Expand All make a long list manageable.
To add an item: double-click it in the left-hand list, or click and drag it onto the order sheet.
💡 Items with more than one case size show a case size icon. Click it to switch case sizes before you set the quantity.

Split Case
If the item was set up as splittable, a split-case option appears. Tick it and the split unit shows, so you can order part of a case rather than the whole thing.
✅  Saving
Click Save. Your orders appear in the order pick window, ready to send or hold as pending. Once the delivery arrives, don't type the invoice from scratch — receive the order instead. See Receiving an Order.
🆘  If something goes wrong
Program problem — errors, crashes, failed saves, a report that won't run → TracRite support at Support@tracrite.net (they know their software best).
"How do I / why does my data look like this?" — missing items, vendors, recipes, or numbers that look off → your F&B manager or executive chef. These are operational questions, not software faults.
