Book4Time β€” Workstation Setup & Troubleshooting (Eldorado Spa)

ℹ️ Book4Time is the spa system at the Eldorado Resort. It runs in Google Chrome, prints receipts and labels through a helper app called QZ Tray, and posts charges through to OPERA. This is a quick reference for setting up a workstation and for sorting out the most common problems. The full vendor setup guide (with screenshots) is attached to this article.

πŸ’‘ Two things break most often: printing (QZ Tray) and charges not reaching OPERA. Both have their own troubleshooting sections below.


🧰 What a Workstation Needs

Requirement Notes
Google Chrome Book4Time is built for Chrome β€” use it, not Edge or another browser.
QZ Tray (2.0 or higher) The helper app that lets Book4Time print to receipt and label printers.
Java (11 or higher) Required by QZ Tray. If it's missing, the QZ Tray installer will prompt you to install the JDK first.

βš™οΈ Quick Setup Reference

(Setting up a new workstation is an IT / technician task. The full step-by-step with screenshots is in the attached vendor guide β€” this is the short version.)

1. Windows trusted-site configuration

  1. Click Start, type Internet Options, open it.
  2. Security tab β†’ Trusted Sites β†’ Sites.
  3. Add this URL: https://*.na.book4time.com (our region is North America = na), then Add.
  4. Back on the Security tab β†’ Custom level… β†’ set these to Enable:
    • Access data sources across domains
    • Navigate windows and frames across different domains
  5. OK β†’ OK to close.

2. Install QZ Tray (and Java)

  1. Download the latest QZ Tray, run the .exe, and follow the wizard using default settings.
    • If Java/JDK isn't installed, the wizard sends you to the JDK download page first β€” install it, then continue.
  2. After install, a QZ Tray icon appears in the system tray (near the clock). Right-click it β†’ make sure "Automatically start" is checked so it launches on every reboot.

3. Connect QZ Tray to Book4Time

  1. Log in to Book4Time β†’ Admin β†’ Account Management β†’ Locations β†’ [your location] β†’ Register Setup.
  2. A prompt appears: "Book4Time Inc. wants to connect to QZ Tray." Check "Remember this decision," then click Allow.
  3. To confirm it worked: right-click the QZ Tray icon β†’ Advanced β†’ Site Manager. Book4Time Inc. should be in the Allowed list.

4. Set up and attach the register

  1. In Register Setup, click Add (if the register already exists, skip to Attach).
  2. Fill in Register ID (a name for the register) and Computer Name (the workstation's name). Adjust other settings as needed β€” you can edit them later. Save.
  3. Click Attach next to the register β†’ OK at the prompt. The "Attach" link greys out.
  4. Click Edit β†’ choose the receipt and/or label printers from the dropdowns β†’ Save.

πŸ”§ Troubleshooting β€” Book4Time Isn't Working

πŸ–¨οΈ Receipts or labels won't print (most common)

Printing runs through QZ Tray, so that's where to look first:

  1. Is QZ Tray running? Look for its icon in the system tray near the clock. If it's not there, launch QZ Tray from the Start menu.
  2. Right-click the QZ Tray icon β†’ Reload.
  3. Right-click β†’ confirm "Automatically start" is checked (so it survives a reboot).
  4. Right-click β†’ Advanced β†’ Site Manager β€” make sure Book4Time Inc. is in the Allowed list. If it's not, redo step 3 of setup (Register Setup β†’ "Remember this decision" β†’ Allow).
  5. Check the register's printers: in Book4Time, Register Setup β†’ Edit β†’ confirm the correct receipt/label printer is selected β†’ Save.
  6. If QZ Tray won't run at all, Java may be missing or broken β€” that's a reinstall, so submit a ticket.

🌐 Book4Time won't load, or pages look broken

  1. Make sure you're in Google Chrome β€” not Edge or another browser.
  2. Confirm the trusted site is set up (Internet Options β†’ Security β†’ Trusted Sites β†’ https://*.na.book4time.com) and the two Custom level cross-domain settings are Enabled (see setup step 1).
  3. Check your internet connection β€” if other websites also won't load, it's a network issue, not Book4Time.
  4. Try again in a fresh Chrome window.

πŸ” "Book4Time wants to connect to QZ Tray" keeps popping up

  • The "Remember this decision" box wasn't ticked. The next time the prompt appears, check "Remember this decision," then click Allow.
  • Confirm Book4Time Inc. shows in QZ Tray β†’ Advanced β†’ Site Manager β†’ Allowed.

🧾 Printer dropdowns are empty / can't pick a printer

  • The register may not be Attached. In Register Setup, click Attach β†’ OK, then Edit to select printers.
  • QZ Tray must be running for printers to appear in the dropdowns.

🏨 Charges aren't posting to the guest room (OPERA)

Book4Time posts spa charges through to OPERA at the Eldorado. If a sale rings up fine in Book4Time but the room charge doesn't reach OPERA, that's the Book4Time-to-OPERA interface, not the workstation setup β€” the steps above won't fix it.

  • Confirm the basics first: Book4Time loads and you can ring up a sale normally.
  • If only the OPERA room-charge posting is failing, it's an interface issue, and two things need to happen:
    1. Notify Argus IT so we're aware of the interface problem.
    2. Place a ticket with OPERA β€” interface issues are resolved on the OPERA side, so OPERA support needs a ticket to fix it.
  • When reporting, state clearly that Book4Time works but charges aren't posting to OPERA β€” that identifies it as an interface issue rather than a workstation problem.

πŸ”„ Nothing works after a reboot

  • QZ Tray probably didn't start. Launch QZ Tray, then right-click its icon and tick "Automatically start" so it comes up on its own next time.

πŸ†˜ When to Submit a Ticket

If the steps above don't resolve it, place a ticket with Argus IT (for workstation, printing, or Book4Time-loading problems). Please include:

  • The workstation name and the Register ID.
  • What's failing β€” printing, Book4Time won't load, OPERA charges not posting, etc.
  • Any error message (a screenshot is ideal).
  • Whether it's one workstation or several.

⚠️ One exception β€” OPERA interface issues. If Book4Time works but charges aren't posting to OPERA, that's the interface: notify Argus IT and place a ticket with OPERA (see the OPERA section above). The OPERA ticket is what gets it fixed; IT just needs to be aware.

For reference, the workstation/app vendor is Book4Time (+1 905-752-2590, https://book4time.com/) β€” but route through Argus IT first; IT will involve Book4Time support as needed.
