Copier Won't Send Scans by Email
Four things to check yourself — then the settings only IT or the vendor can touch.
ℹ
Scan-to-email relies on a few things going right. Work through the checks below; if none of them solve it, contact Argus IT.
✅ Check these first
1 Does the copier have network access? If you can send it a print job, that question is already answered — it's on the network.
2 Do you have internet on your workstation? If yes, the copier most likely does too.
3 Have you checked your Junk Mail folder? Office 365 runs email for the copiers, and it doesn't like anonymous addresses (for example info@fourpointskelowna) — it dumps those into Junk unless you tell it otherwise. This is the most common cause of a "missing" scan.
4 Is the email too large? Office 365 and newer Exchange support files up to 150 MB. A big scanned document may simply be too large to send — scan it in smaller batches or at a lower resolution.
⚠
The last place to check is the copier's own settings You most likely won't have access to these — Argus IT or the copier vendor handles them. They're listed below so you know what will be verified.
⚙️ Copier settings IT / the vendor will verify
- SMTP RX enabled
- SMTP server: smtp.office365.com
- Email address: the account the emails should be sent from
- TLS (SMTP TX) enabled
- SMTP Authentication enabled, with a username and password — the same email account as above, with the correct password
- SMTP port 587 — most devices default to 25, which won't work
🆘 Still not working?
Submit an Argus IT ticket. Tell us which copier and property, the address you're scanning to, whether it's failing for everyone or just you, and whether you've checked Junk Mail.
