How to Request File or Folder Access

⚠️ NOTICE: Access will NOT be granted until this form is completed in full. The single most important field is whose access we should copy from. Without that, we cannot reliably match the requested permissions to your role.

Use this form to request access to a shared folder, mapped drive, SharePoint site, OneDrive shared folder, or any other shared resource at Argus. This applies to both new access requests and changes to existing access.

Required Information

Copy the block below into your ticket, then fill it in:

FILE / FOLDER ACCESS REQUEST
============================

User who needs access:
(Your name, or if requesting on behalf of someone else, that person's name)

User's email address:
Job title:
Property / venue / department:

WHAT DO YOU NEED ACCESS TO? — REQUIRED
Resource name or location:
(Examples: "S:\Argus Hospitality\Finance\2026 Budgets", "Hotel Eldorado Operations

Recipe Library", etc.)

If you know the exact path or URL, include it:

COPY ACCESS FROM — REQUIRED
Whose existing access should we copy?
(Provide the name of someone currently working in a similar role who already has the
access you need. We will match your permissions to theirs.)

Copy access from:

If you don't know anyone with the same access, explain who you'd expect would have
it (e.g., "any other manager at Hotel Eldorado") so we can identify a reference user.

ACCESS LEVEL — REQUIRED
[ ] Read-only (view files, but cannot modify, save, or delete)
[ ] Full edit access (read, write, modify, delete)
[ ] Specific permissions — explain:

DURATION
[ ] Permanent — this is now part of my role
[ ] Temporary — needed until: ___________________ (date)
[ ] For a specific project — project name and expected end date:

APPROVAL — REQUIRED
Has this been approved by the resource owner or your manager?
[ ] Yes — approved by: ___________________
[ ] Not yet — please contact the resource owner for approval

REASON FOR REQUEST
Briefly explain why this access is needed for your work:

Why "Copy Access From" Matters

Argus IT manages access using a reference-user model. When you tell us "copy access from Jane Doe," we mirror her access groups, mapped drives, SharePoint memberships, and folder-level permissions in a single operation. This is the fastest, most accurate way to set up access — and it's how Argus IT has always done it.

Without a reference user, we'd have to identify each shared folder, drive, and SharePoint site individually, then determine the appropriate permission level for each — a process that turns a 5-minute request into hours of investigation and back-and-forth.

If you genuinely don't know who has the access you need, that's okay — just tell us in the form. We'll work with your manager to identify a reference user or, if the access doesn't exist yet, escalate to the resource owner.

Common Mistakes to Avoid

  • "Give me access to everything" — there is no "everything" permission. Access is always granted to specific resources for specific reasons.
  • "Same as my old role" — if you've moved roles internally, please name a current colleague in the NEW role as the reference user, not your own past access.
  • No approval source — for sensitive resources (Finance, HR, executive folders), we cannot grant access without confirmation from the resource owner.
  • Vague resource descriptions — "the shared drive" is not specific enough. There are dozens. Provide the path, name, or context (e.g., "the shared drive for Manteo housekeeping").
  • Requesting access to someone else's OneDrive — OneDrive content belongs to individual users. We cannot grant another user access to a private OneDrive without the owner's explicit consent. If documents need to be shared, they should be moved to SharePoint or a shared drive.

What Happens Next

  1. Your ticket is received and reviewed. If any required info is missing, we'll reply asking for it.
  2. We verify the reference user's access and confirm it matches what you've requested.
  3. If approval from a resource owner is required, we contact them.
  4. Access is granted — usually within the same business day for routine requests, up to 2 business days for sensitive resources requiring additional approval.
  5. You'll receive a confirmation when access is active.

Note: Some access changes (especially on-premises file shares) require you to sign out and sign back in before the new permissions take effect. We'll let you know if that applies.
